Can you help the board to oversee a busy & growing Charity? We have lots of plans to continue developing the work of Bristol Hospitality Network and are looking for someone to support the trustees in their role, including attending trustee meetings in order to record notes as 'minutes' of the discussions, as well as other tasks to support the trustees. This is an important role that would suit someone who would like to volunteer on occasional evenings as well as carry out some tasks at home. It may also suit someone who would like to gain experience of administrative and secretarial work, or learn more about being part of a board of trustees / directors.
*The hours for this role are not fixed due to the nature of the post. It is likely to take an average of 1-2 hours per week, but this will be worked flexibly across the year with a greater commitment some weeks than others.
The main duties of the Assistant to the Trustees will be to:
Attend evening meetings every 6-8 weeks and some ad hoc meetings
Work at home on your own initiative to meet deadlines, using ICT equipment
Provide effective administrative support to the Trustees and its committees
Manage information effectively and in accordance with legal requirements
Provide reminders and advice to the Trustees where appropriate
You will be:
good at taking accurate notes of discussions
good at being organised and helping other people to keep to deadlines
able to keep information confidential
able to follow detailed conversations and have a high standard of written English
supportive of the aims of BHN
Specifically, the role will include the following tasks:
To work effectively with the Chair before meetings to prepare agenda, request reports and papers from staff and trustees, then collate and distribute the agenda and papers to ensure Trustees/Members receive them 7 days before the meeting
To record attendance and minutes of meetings, indicating who is responsible for any agreed actions. To record decisions accurately and objectively with timescales for action
To submit draft minutes to the trustees for amendment / approval and then issue the approved draft to all trustees
To keep the calendar updated with key dates and advice staff and trustees of upcoming deadlines
To liaise with trustees/staff to get an update on progress of agreed actions
To maintain a list of members and act as secretary at the AGM.
To act as secretary for occasional sub-committee meetings
Any other tasks required to support the trustees
